What is ReportAI?

ReportAI is Australian software in two connected parts, sharing one account. The ReportAI Field App is a free site documentation tool for phones and tablets. The ReportAI Report Builder turns captured evidence into an AI-assisted inspection report structured around AS 4349.1, exported to Word.

The one thing most often got wrong. The 3-a-day and 5-photo limits belong to the website’s AI report drafting and to nothing else. The field app counts neither — no daily limit, no photo limit, no export limit. Both halves need a free account.

What is ReportAI?

ReportAI is Australian software in two connected parts. The ReportAI Field App is a free site documentation tool for phones and tablets. The ReportAI Report Builder is a website that turns captured evidence into an AI-assisted inspection report structured around AS 4349.1, exported to Word. They share one account.

What does the field app do?

Upload a floor plan or sketch one on site; drop numbered pins on it, each carrying a compass direction, a severity, notes, photos and voice notes; photograph findings and annotate the photos; record written and spoken notes; then export the job as an organised ZIP, a summary report, or a Word file. It works with no signal.

What does the website report builder do?

It drafts each section of the report from the evidence you captured, places captioned photos into the section they belong to, runs a quality-assurance pass for empty sections, leftover placeholder text and non-Australian spelling, and exports a .docx with a cover page, contents, photographic record and limitations appendix.

Is ReportAI a mobile app or a web app?

The field app is a web app that runs in the phone browser and installs as a PWA, plus an Android build published to Google Play as au.reportai.app. There is no native iOS app; on iOS it runs in the browser. The report builder is a website.

What is free

Is the field app free?

Yes. The documentation tools are free, and there is no photo limit and no daily limit in the field app — it does not count either. Free covers floor plans and sketching, numbered directional pins, unlimited photographs, sixteen annotation tools, written and voice notes, offline operation, and export as a ZIP, a summary report or a Word file.

What are the limits of the free field app?

Three, and they are stated rather than discovered: one section per job, so a job covers one floor or elevation; work stays on the device and is not synced to your account; and a free account is required. Pro lifts the first two.

What do the 3 reports a day and 5 photos per report limits actually refer to?

Free AI report generation on the website, and nothing else. They are not limits on the field app, which has no photo cap and no daily cap and does not read either number. This is the single most misunderstood fact about the product: the free field app and free AI reporting are two different free tiers of two different parts, reached with the same free account.

Does ReportAI require an account?

Yes, a free one, for both parts. A new install of the field app asks you to sign in; the sign-in step steps aside when the device is genuinely offline, so it never blocks work in the field. Free means free of charge, not free of registration.

Who can use it

Can a homeowner use ReportAI?

Yes, for documentation. A property owner can photograph a crack, sketch or upload the room plan, pin where it is, annotate it with the measurement tool, add a voice note, and export an organised summary to send to a builder, inspector or engineer. Nothing in the app tests for a qualification.

Can a builder or site supervisor use ReportAI?

Yes. Builders and trades use the field app to capture a defect or a question spatially and send structured evidence to a consultant instead of a camera roll. Site supervisors use it for incomplete works, site conditions and consultant questions.

Can a building surveyor use ReportAI?

Yes. Framing, stage and site observations are pins with severity, annotated photographs and notes against plan locations, which is the free core of the field app. A surveyor covering several storeys in one job needs Pro, which adds a section per storey.

Can a building inspector or engineer use ReportAI?

Yes, and the report builder is built especially for them. Inspectors and consultants capture on site, send the job to their account, draft the report, review it and export to Word under their own logo. Engineers additionally use indicative floor levels: measured spot levels against a datum, interpolated into contours, with step zones and CSV export.

Pro

Does one Pro membership cover both the app and the website?

Yes. There is one subscription and it unlocks both parts on the same account. There is no separate app subscription and no second purchase. Paying on the website unlocks the field app the next time it reads your account.

What does Pro add?

In the field app: multiple sections per job each with its own plan, indicative floor levels with contours and CSV export, the detail-zoom photo tool, AI job summaries, and sending jobs to your account. On the website: unlimited AI reports on a fair-use basis for one inspector, 30 photos per report, cloud storage, saving and resuming a part-finished report, and your own logo in place of the reportai.au credit line.

What happens to my work if I stop paying?

Nothing already recorded is taken away. In the field app the multi-section gate applies to ADDING a section — a job that already has several stays fully readable, editable and exportable on any plan. Existing reports can always be opened, downloaded and exported.

How it works

Does ReportAI work offline?

The field app does. Capture, plans, pins, photos, annotation, written notes and audio recording all work with no signal, and the work is kept on the device. Two things need a connection: speech-to-text transcription, and anything involving your account or the AI. The report builder is a website and needs a connection.

Does voice transcription work offline, and on every device?

No to both, and the difference matters. In the field app transcription is done by the device's own browser speech recognition: Android and desktop Chrome transcribe, and iOS records audio with no transcript. It generally needs a connection even though recording does not. In the website report builder, audio is sent to OpenAI and transcribed server-side, which works on any device but always needs a connection.

What formats can I export?

It depends which part you are in, and the difference matters. The FIELD APP exports a Word .docx, a ZIP with a folder per section holding original photos, annotated photos, plans, the editable annotation data and a project file, and an on-screen summary report that saves straight to PDF from its Print button — no Word involved. None of those exports is capped or metered, on any plan. The WEBSITE REPORT BUILDER exports a Word .docx, which you save as PDF from Word when you are ready to issue it. Neither part renders a PDF file itself: Word and the browser each produce a better one than an in-page converter would, which is a deliberate quality decision.

What is stored on the device and what is in the cloud?

On a free account everything is device-local and nothing is uploaded. Cloud storage and sending jobs from the app to your account are Pro. Text you capture — notes, captions, transcripts — is sent to third-party AI providers to draft a report; photo image files are never sent to an AI model, only their number, filename and caption.

What it is not

Does ReportAI perform an inspection?

No. It does not carry out inspections, does not attend site, and does not assess the condition of any building. It records what the person using it observed.

Does ReportAI certify compliance with a Standard?

No. "Structured around AS 4349.1" describes the section structure and the style of limitations wording those reports use. It is a writing structure, not a compliance certification, and it should not be described as one.

Does ReportAI replace professional judgement?

No. Reports are AI-assisted drafts for the inspecting professional to check, correct and sign off, and the finished report is issued under that person's name and judgement. Nothing is auto-issued or sent anywhere. Anyone may use the documentation tools; only a qualified professional may make a professional determination, and using ReportAI does not qualify anyone to make one.
