Inspection programs your whole team can run, with no training

For utilities, councils, asset owners and engineering firms that inspect hundreds or thousands of assets. Plan the work on a real map, guide every inspector step by step on their phone, review it, and turn the findings into reports and a defect register your asset system can use.

People make every decision. The AI listens to the inspector, fills in the form and drafts the report; the inspector checks every answer and a supervisor approves before anything reaches the register.

From a map to a defect register, in four steps

  1. Plan. Draw the area on a street or aerial map and split it into zones sized to a day’s work. Load your assets from a GIS or asset-system export; each one lands in its zone. Share the zones out by workload, so each inspector gets one connected patch.
  2. Inspect. The phone walks the inspector through the job one step at a time, with safety notes where they matter. They say what they see; the AI fills in the answers and lists the defects with location and severity. They check it, take the photos it asks for, and choose the grade.
  3. Review. A supervisor sees every submitted inspection with its grade and worst defect. Approve it and the defects go onto the register with a suggested next action; send it back with a note and the inspector sees it at the top of the job. Every decision is recorded.
  4. Report. Results update as work is approved: progress by inspector, condition grades, defects by type and severity, and a condition map. Program and inspection reports download as Word documents. The AI writes the summary; every number in it comes from your data, and a draft with a figure the data does not contain is refused.

Built for field work and for your IT team

Any asset you inspect

Sewer manholes, fire hydrants and pump stations run today. Your own checklists, wording and grading scale are loaded as settings during setup, and the AI, the screens and the reports follow them.

Works without signal

Zones, forms, answers, photos and submissions are kept on the phone in pits and rural areas, and sent when signal returns. The AI needs signal; without it the inspector answers by tapping and the notes are kept.

Photos checked on site

Too dark or too blurry? The app says so before the inspector leaves. Moderate and worse defects need a photo before the inspection can be submitted.

Fits the systems you run

Assets come in from a CSV or GeoJSON export of your GIS or asset-management system (common IBM Maximo and GIS column names are recognised). The approved defect register goes back out in an import layout. A direct connection is built with your IT team.

Your data in Australia

Database, photos and the application server run in Sydney. The AI runs on Microsoft Azure OpenAI in Australia East, which does not use your prompts or answers to train models.

Each person sees their own work

Planner, supervisor and inspector roles are enforced in the database itself, not only on screen. Photos are private to signed-in members of your organisation.

How to start: a measured pilot

  1. You choose one asset class and one area.
  2. We load your checklist, grading wording and asset export.
  3. Your inspectors and supervisors use it on real work, including someone who has had no training.
  4. Before and after, we measure office time per inspection, inspections returned for missing information, and time until a new inspector works alone.
  5. You decide on the evidence. Success measures are agreed in writing before we start.

Cost depends on the size of the program and is discussed in the demo meeting. Estimate the saving first with your own figures in the savings calculator. Contact us · admin@reportai.au

Questions

Do we have to replace our asset management system?

No. ReportAI Enterprise plans and captures the inspections; your asset system stays the system of record for assets and work orders. Exports in and out work from day one, without an IT project.

What if the AI gets something wrong?

It only suggests. Every answer it fills in is shown to the inspector to check, the inspector chooses the grade, and a supervisor approves before anything reaches the register. With no findings recorded, it refuses to suggest a grade.

Can we use our own forms and grading scale?

Yes. Forms are settings, not code: we load your checklists and wording during setup. The demo’s forms and 1–5 scale are examples.

Where is our data stored?

Database and photos in Sydney, and the application server in Sydney. The AI runs on Microsoft Azure in Australia East. We confirm the exact processing arrangements in writing for your organisation before a pilot starts.

Can staff sign in with their Microsoft accounts?

Not yet. Today sign-in is by email and password, with accounts created by us for your organisation. Single sign-on with Microsoft accounts is on our roadmap.

Is this the same as the ReportAI app for inspectors?

No. ReportAI Enterprise is a separate system for organisations running inspection programs across many assets and people. The ReportAI app and Report Builder remain the tools for individual building and engineering inspections.

Screenshots show synthetic demonstration data, not a customer’s assets. ReportAI is a documentation and drafting tool; inspection results and reports are checked and approved by your own people.

reportai.au is a report documentation tool. It does not carry out inspections, does not assess or certify the condition of any building, and does not provide engineering services. Reports are AI-assisted drafts prepared for the inspecting engineer to check, correct, and sign off. All professional judgement remains yours.
